Registry · Finance · Residents · Operations — one platform

The modern operating
system for real estate.

Altrea runs your property registry, association books, resident portal and day-to-day operations in one system — every peso posts twice, every change is on the record, and every community keeps its own books. Built for Philippine condominium corporations, subdivisions and developer portfolios.

Discover

Property teams juggle spreadsheets, disconnected tools, and books that never quite balance. Altrea brings every community, every peso and every resident request into one source of truth — accurate, auditable, and ready to hand to the next board.

Why Altrea

Five reasons teams switch to Altrea.

Real double-entry books, per community

Every statement, receipt, deposit, correction and payment out posts a balanced journal entry. Each association keeps its own ledger, bank accounts, document numbers and month-end close — the way its board and auditors expect.

One login, your whole portfolio

A developer or management company runs condominium corporations, subdivisions and commercial areas side by side — one register, one set of staff logins, separate books for each.

Controls an auditor recognizes

A preparer can never approve their own journal entry. Money leaves only through a voucher prepared, approved and released by different people. Every change to every record is logged with before-and-after values.

A resident portal with the office's numbers

Owners see exactly what the office sees — balance, statements, payments and penalties with the rule behind them — and can report a concern, request a booking or apply for a permit without a phone call.

The Platform

Six modules. One operating system.

Registry, finance, service desk, operations, resident portal and access control — designed together, not bolted together. One database, one hierarchy, one truth.

01 — Property & Resident Registry

Every unit, owner and tenant — in one place, finally.

  • Portfolio structure — projects, units and lots, owners, tenants, leases, vehicles and parking, across every community you manage.
  • History, never overwritten — a sale is recorded as a transfer, so old statements still name who owned the unit at the time.
  • Built for Philippine billing — floor area beside lot area for per-square-metre dues; each community's registered name and TIN on its own documents.
  • Import and export — load registers from spreadsheets with a dry run first, and export them back out at any time.

02 — Billing & Finance

Close every month with books that actually balance.

  • Preview, then bill — see every charge before a statement exists; a missing meter reading stops the run instead of printing ₱0.00.
  • Rates the way your by-laws set them — flat, per square metre, metered or from a lease, with exemptions per community or per unit.
  • Penalties as board resolutions — grace days, rate, caps and the resolution number, kept as a dated record so a disputed penalty can be traced.
  • Statements and SOAs — numbered per association, printed, and downloadable as a PDF statement of account.

03 — Service Desk

Every resident concern tracked, answered, and on the record.

  • From the portal or the front desk — each concern gets a category, a priority and a reference the resident can quote on the phone.
  • Two audiences, one thread — a reply to the resident, or an office-only note the resident never sees. The screen says which before you send.
  • Residents are told — a notice in the portal and a link-only email when the office answers.
  • Every change logged — status changes and reassignments go on an activity trail automatically.

04 — Operations

Permits and amenities run themselves — and bill themselves.

  • Amenity bookings — residents request within the amenity's own hours and rules; a person approves; a fee becomes a charge on the unit only then.
  • Work permits — each community sets its own kinds of work, each with a fee, a construction bond and a longest duration.
  • Bonds held, not earned — a bond is billed to a liability account, the work is not in force until it is paid, and after inspection the balance goes back by voucher.

05 — Resident Portal

"What do I owe, and did my payment land?" — answered without a phone call.

  • The office's figures, exactly — balance, how old it is, every statement, every payment and what it settled, every penalty with the rule behind it. The portal never calculates a number itself.
  • Statement of account as a PDF — addressed to the owner, covering only their own documents.
  • Raise it, follow it — report a concern, request an amenity booking, apply for a work permit, and watch each one move.
  • Family access — an owner can invite someone to view their units. A website, nothing to install.

06 — Access Control & Audit

Everyone sees exactly what they should — and nothing else.

  • Roles you control — property manager, finance lead, billing clerk, treasurer, internal auditor and board member come ready-made; adjust them, or confine a user to one community.
  • A ceiling on power — whoever manages roles can only grant permissions they hold themselves.
  • Two-factor sign-in for staff — authenticator-app codes, required for administrators.
  • Complete audit trail — every change to every record, with before-and-after values, written in the same step as the change.

The Finance Engine

Real accounting under the hood — not a spreadsheet with a login.

Double-entry, balanced to the centavo

A chart of accounts you own, journal entries that go through draft, approval and posting, and a rule that the preparer can never approve their own entry. Posted entries are reversed, never edited.

Separate books, separate close

Every entry carries its community, so each trial balance, income statement and balance sheet is exact. A month closes one community at a time, and a closed month refuses new postings.

Receivables as they stood on any date

Aging is restated from the records, not filtered from today's figures, and a reconciliation report compares four independent sources per unit — so you know which homeowner is wrong, not just that something is.

Cash the way it really arrives

A post-dated cheque register where a cheque in the drawer is custody, not money. Deposit slips that move collections into the right bank account. Vouchers prepared, approved and released by three different people, with refunds capped at what is actually held.

Commercial tenants, handled

Rent billed from the lease with dated escalations, VAT where the association charges it, and withholding tax recorded at receipt with a Form 2307 register per tenant and quarter.

Who It's For

Built for every kind of community and portfolio.

Condominium corporations

Dues by floor area, post-dated cheques, fit-out permits with bonds held and returned — and a portal for owners across towers.

Subdivision HOAs

Penalties set by board resolution, aging on any date, write-offs the board can see, and clean books to hand to the next treasurer.

Developers with a property-management arm

Every community in your pipeline in one private deployment — the developer before turnover, each board after it.

Property management companies

Run every client association from one login, with separate books, bank accounts and document series for each.

Commercial & mixed-use

CUSA, metered utilities, rent billed from the lease, VAT and withholding tax handled at receipt.

Why Altrea over the alternatives

Most property tools stop at billing. Altrea keeps the books.

Many platforms collect dues and send reminders well. Fewer can close a month, survive an audit, or run ten communities as ten sets of books under one login. These are the things we built Altrea around.

01

One company, many communities, separate books

Each association has its own ledger, bank accounts, rates, penalty rules, document series and month-end close. Your staff work across all of them from one login.

02

A ledger, not a running tally

Balances are derived from journal lines and can be rebuilt at any time. Nothing writes a balance directly, so they cannot drift.

03

Maker-checker on money

A preparer cannot approve their own entry. A voucher is prepared, approved and released by different people, and every voucher prints all three names.

04

Cheques and deposits modelled honestly

A post-dated cheque is custody until banked. Deposit slips make each bank credit a line you can match. A bounce is recorded as a bounce and linked to its replacement.

05

Aging on any past date, reconciled four ways

Receivables are restated as they stood, and a reconciliation compares the recomputed position, the period snapshot, the subsidiary ledger and the control account per unit.

06

Corrections as documents, never edits

An issued statement is never rewritten. A credit memo states the reason, is drafted and posted by different authorities, and books a write-off as a loss the board can see.

07

A portal that cannot disagree with the office

Every figure a resident sees comes from the same service the staff screens read. The portal never calculates a balance itself.

08

Your data, in your own instance

One client per database and environment, hosted by us or on infrastructure you control. Updates go live when you are ready, not on a date set for everyone.

Compare on your own checklist We'll walk it item by item, and tell you plainly what's not built yet.

The Product

Software your team will actually enjoy using.

your data is yours alone

Security & Compliance

Your properties. Your books. Your data — alone.

A dedicated instance, just for you

Altrea is provisioned one client at a time: your own database and your own environment, never shared with another company. We can host it for you, or we can discuss running it on infrastructure you control. New versions go live in your environment when you are ready, and custom fields, reports and document layouts can be built for you without affecting anyone else.

Role-based access control

Every screen and every action sits behind a permission. Irreversible and debt-forgiving actions are held apart from ordinary edit rights, and a user can be confined to a single community.

Immutable audit trail

Every change to every record is logged with before-and-after values, who made it and when — written in the same transaction as the change, so a change that cannot be logged does not happen.

Two-factor staff sign-in

Authenticator-app codes and single-use backup codes, required for administrators and available for any role. Every sign-in, setup and rejected code is on the audit trail.

Data Privacy Act in mind

Built with RA 10173 in view: resident data stays access-controlled and accountable, and the portal's emails carry a link and never a figure.
